Job description:
Working within the LHÉEA laboratory and reporting to the administrative department, the administrator performs a wide range of duties and carries out administrative and financial management tasks for the laboratory under the supervision of the administrative manager.
Your main responsibilities will be as follows:
Administrative management of several research teams and the laboratory management:
Managing expenditure commitments and monitoring: processing orders, invoices, business trips and expense claims.
Collecting, checking and filing the supporting documents required for administrative procedures.
Monitoring budgets and checking the teams’ budget expenditure in conjunction with the laboratory’s Projects Unit.
Acting as a liaison with the various central departments of ECN, the CNRS and Centrale Innovation, in particular the finance, accounts, human resources and logistics departments.
Supervising interns: preparing placement agreements, managing allowances and organising induction.
Support for the laboratory management / cross-functional tasks:
Assist the administrative manager with the laboratory’s human resources management.
In collaboration with the LHÉEA communications officer, contribute to the logistical organisation of scientific events and those related to laboratory life (meals, seminars, initiatives to improve well-being at work, etc.) organised for laboratory staff.
Job requirements
Knowledge:
How public administrations operate
Knowledge of the basic principles of public financial management
Working environment (ESR) and professional networks (laboratory managers and HR representatives from supervisory bodies)
Operational skills:
Applying regulations and procedures relating to administrative and financial management
Using the specialist tools Cocktail, Coclico, Geslab and Notilus
Working as part of a team
Ability to manage one’s workload within a complex schedule and management framework (multiple supervisory bodies and evolving regulations)
Ability to report
Ability to work with a variety of contacts both within and outside the department
Planning one’s workload and managing priorities
Need for versatility

Required qualifications: A baccalaureate or BTS qualification in administrative and financial management; we welcome applicants with no prior experience, although experience in higher education and research would be an advantage.
